How it works / Problem 06 · Run the business

It's 10 PM. You're at the kitchen table, typing up today's invoices.

The quote lives in your texts, the schedule lives on a whiteboard, and the invoice lives in a spreadsheet you fill in after dinner. A Shop OS is one system for the quote, the schedule, and the invoice. We pick the right one for your size, move your customers into it, and set it up so the job you quote in the morning is the invoice you send that afternoon. About two weeks. About two hours of your time.

The route at a glance

Six stops from three apps and a clipboard to one system.

Same work order as every Counter & Crew install. Bigger move: your customers, your prices, and your team's habits all come along, so the clock runs in weeks, not days.

Station 00 Before Day 1 · Self-serve

The work is fine. The paperwork is eating your nights.

Nobody starts a business to do data entry. But somewhere around the second or third hire, the quote is in your texts, the schedule only makes sense to you, and invoices go out when you get to them, which is Sunday. If two or more of these sound familiar, the paperwork is costing you money.

You do

Run the checklist, or pick "Too much admin" in Find AI.

You get

The Shop OS tools we'd buy, with public prices, and the ones to skip.

Signs the paperwork runs you2 or more?
  • Invoices go out days after the job
  • You've typed the same customer's address three times
  • The schedule only works if you're in the office
  • You can't say, right now, who still owes you money

Station 01 Day 1 · 30 minutes

The fit call. We follow one job from quote to paid.

Thirty minutes, no demo. We trace one real job through your week: where the quote got written, how it got on the schedule, who told the person doing the work, when the invoice went out, and when the money landed. Every spot where something gets retyped is a spot where jobs and money slip. Sometimes the fix is QuickBooks set up properly. Sometimes the system you already pay for has features nobody turned on. We'd rather tell you that than sell you a move.

You do

Bring one recent job, start to finish, and a rough count of your team and office people.

You get

A paperwork report and an honest yes, no, or "use what you have."

Station 02 Day 1–2 · We do the homework

The pick. A small team doesn't need a system built for a hundred people.

The Shop OS aisle runs from $49 a month to software with no public price at all. Most of the difference is size. A small team needs quotes, a schedule, invoices, and card payments that talk to each other. A business with a full-time scheduler and a full office may need more. We pick from our published scorecard, matched to your team, your accounting, and the number you told us you can spend. You see the score and the monthly cash price before you say yes, not the annual teaser.

Station 03 Day 2–10 · Remote, in your accounts

The setup. Then we run a fake job from quote to paid.

Everything is built in your account, under your login. We import your customer list, load your services and prices, build quote and invoice templates with your logo and terms, connect card payments and your accounting, and put your team on the mobile app. Then we test it the way a real Tuesday goes: quote a job, approve it from a customer's phone, drag it onto the schedule, mark it done from a phone, send the invoice, pay it with a test card, and check that it lands in your books. If it breaks on our test job, it never touches a real one.

You do

Check the price list and the invoice template. Approve them, or tell us what's wrong.

We do

Import, set up, connect payments and accounting, and run test jobs until it's boring.

Station 04 Week 2 · 45 + 15 minutes

The handoff. Your team knows the app before Monday.

A 45-minute walkthrough for you and whoever runs the office, then 15 minutes with your team on their phones: see the day, open the job, take the photo, mark it done. Then the runbook: every login in your name, how a job moves from quote to paid, who does what in the app, and how to export your data if you ever leave. Keep us on care, or run it yourself. Either way, nothing is held hostage.

Station 05 Every month · Optional care plan

Care & tune. Invoices should go out the same day.

Every month you get one short report: days from job done to invoice sent, what's still unpaid, and which quotes went quiet. We fix the templates, automations, and settings people trip on, and turn on features when you're ready for them, like a review ask after a paid invoice. Every quarter we re-check your system against our latest scorecard. A Shop OS is the one tool we won't swap lightly, so if it stops fitting, we tell you why and what a move would cost before anything changes.

The honest clock

A new system is slower before it's faster.

Our setup finishes in about two weeks. Your team's habits take longer. Here's what usually happens, and roughly when.

Weeks 1–2

Set up and tested

Customers imported, prices loaded, payments connected. Nothing real runs through it until the test job passes.

Weeks 3–4

The awkward month

Someone texts a quote out of habit. Someone forgets to mark a job done. That's normal. We fix the step that trips them.

Months 2–3

Invoices go out the same day

Once your team marks jobs done from their phones, the invoice can go out before the next appointment starts.

Month 3 onward

One record per job

Quote, schedule, and invoice live in one place. You stop retyping and start reading one report.

If someone tells you switching systems takes an afternoon, ask who moves your customer list. The honest answer: the software is quick to buy and slow to move into. We do the moving, and we tell you which week will feel slower.

What happens when it works

Once the paperwork runs itself, everything else plugs in.

A Shop OS is where every other install connects. A paid invoice can trigger the review ask. A missed call can become a customer record instead of a sticky note. Housecall Pro includes the review ask on every plan. Jobber puts reviews in a separate Marketing Suite. We'll tell you which one you're buying before you buy it.
