What percentage of small business calls go unanswered?

411 Locals (2016) found 62% of phone calls to small businesses were left unanswered across 85 businesses in 58 industries over 30 days. Only 37.8% reached a live answer; 37.8% went to voicemail; 24.3% got no response at all. 70% of those businesses answered less than half of their calls.

Newer platform telemetry is lower but still large. CallRail (2025) reports 28% of all inbound calls on its network go unanswered, more than 3 million unanswered calls per month. 51% of CallRail customers miss at least 10 calls a month; 13% miss more than 100.

ClearCall AI (2026) audited 40+ service businesses from 2024-2026 and put the average miss rate at 22%. In screening interviews with 130+ owners, the typical guess was 5-10%.

Invoca (2025) analyzed 60M+ calls and found 61% of callers speak with a person (so about 39% do not). Answer rates in that report varied from 54% to 69% by industry.

Lunch is a dead zone in ClearCall’s clinic cohort: 34% of daily call volume arrived between 12:00 and 14:00, and the answer rate in that window dropped to 41% (ClearCall AI, 2025 cohort / 2026 report).

How much does a missed call cost a small business?

There is no single national LTV for a missed call. Primary sources report opportunity and audit cases instead.

ServiceTitan (2022) estimated that every 5% increase in business for shops with five to 14 technicians equates to about $100,000 in additional annual revenue.

ClearCall AI (2026) reported e-commerce brands it audited were losing $200,000-$350,000 per year to calls placed after 6 PM. For an illustrative practice fielding 400 calls per month at 22% miss and $200-$400 average call value, ClearCall put roughly $35,000 per month at risk.

Vonage (2019) estimated IVR-driven abandonment costs businesses $262 per customer per year.

How fast should you respond to a phone or web lead?

Contacting a lead within 5 minutes versus 30 minutes raises the odds of contacting them 100× and of qualifying them 21× (InsideSales.com / MIT Sloan (Oldroyd), 2007 Lead Response Management Study).

Harvard Business Review (2011, Oldroyd / McElheran / Elkington, 1.25M web leads) found firms that tried to contact potential customers within an hour were nearly as likely to qualify the lead as those that waited even an hour later, and more than 60× as likely as companies that waited 24 hours or longer. In an audit of 2,241 U.S. companies, only 37% responded within an hour; 23% never responded; among responders within 30 days the average wait was 42 hours.

On the call itself, Invoca (2025) reports 37% of phone leads convert during the call, 35% of calls from digital marketing are qualified leads, and only 35% of agents ask leads to purchase or book. Display ads achieved the highest lead rate at 54% of answered calls; Google Ads paid search sat at 39%.

Ruby (2022, covering 25.3 million calls in 2020-2021) found 92% of phone calls represent opportunities to win, retain, or lose business.

In ClearCall’s aesthetic clinic cohort, weekend callers converted at 68% to booking when answered, versus 29% for weekday callers (ClearCall AI, 2026).

What share of calls arrive after hours?

After-hours volume depends on the industry and the dataset.

Ruby reported businesses receive fewer calls outside working hours (6 p.m. to 5 a.m. PT), but the share rose from 3.2% in 2020 to 3.8% in 2021. After-hours volume grew more than 18% year over year (Ruby, 2021). Of 25+ million calls in Ruby’s 2022 trends report, 1.34 million came in outside normal business hours.

ClearCall AI (2026) paints a harder picture for some verticals: a typical medical clinic accumulates 59 dead hours per week (evenings and weekends combined). Across e-commerce clients audited, 42% of high-intent post-purchase calls arrived outside 9-to-5. One $2.5M/year e-commerce brand lost 38% of calls placed after 6 PM.

CallRail (2025) Voice Assist users saw a 36% increase in total call volume after implementation, attributed in part to enabling nights and weekend ads.

How often do callers abandon IVR or voicemail?

Vonage (2019, Opinion Matters survey of 2,010 U.S. adults) found consumers abandoned more than a quarter (27%) of calls they made to businesses in the prior year because they reached an IVR, and 85% terminated at least one such call. More than half (51%) abandoned a business altogether after an automated menu. 61% said IVR makes for a poor customer experience. Among those who left after a bad IVR experience, 89% of the money they would have spent went to a competitor.

Invoca (2025, via MarTech summary of the Invoca report) states 66% of consumers will stop doing business with a brand after just one bad phone experience.

ClearCall AI (2026) measured average hold time in U.S. medical practices at 11 minutes before intervention.

Voicemail remains a large outcome share in the classic 411 Locals study: 37.8% of SMB calls were forwarded to voicemail (411 Locals, 2016).

Does text-back help recover missed calls?

Americans exchanged nearly 2.2 trillion SMS and MMS messages in 2024, about 42 billion more than the year before (CTIA, 2025 Annual Survey Highlights).

SimpleTexting (2025; survey Dec 23-26 2024; 1,000 U.S. consumers and 400 businesses) reports 82% of consumers check texts within five minutes, 32% open texts within 60 seconds, 71% want the ability to text a business back, and 31% now prefer texting a customer service rep over email and phone. 84% of consumers are opted in to receive texts from businesses; 66% of businesses use SMS marketing software.

Why do so many small businesses miss the phone?

Structure explains a lot of the miss rate. In 2023 there were 30,427,808 nonemployer establishments in the U.S., 78.4% of all establishments, bringing in nearly $1.8 trillion in revenue (6.4% of GDP) (U.S. Census Bureau). Nonemployer establishments climbed 2.1% in 2023 while employers’ share of all U.S. businesses shrank from 24.6% to 21.6% (U.S. Census Bureau). There were 5.58 million U.S. firms with at least one employee but fewer than 500 in 2023 (U.S. Census Bureau).

SBA Office of Advocacy (2024 FAQ) counted 34,752,434 small businesses (99.9% of businesses), employing 45.9% of American workers (about 59 million people). The 2025 profiles put the count at 36.2 million small businesses and a net 1.2 million new jobs from March 2023 to March 2024 (SBA Office of Advocacy).

Voice still matters at that scale. Americans spent over 2.4 trillion minutes on the phone in 2024, nearly 30 billion more than the year before (CTIA). The FCC (Form 477, Dec 31 2023) counted 471 million retail voice telephone service connections, including 386 million mobile subscriptions; of wireline voice, about 52.2 million (62%) were business connections.

Local marketers still treat the phone as a core KPI. BrightLocal (2015, n=589) found phone calls were the most important metric for a local business for 48% of respondents. In the BrightLocal Local Search Industry Survey 2023 (n=534), phone calls ranked among the top metrics for freelancers (45%), agencies (37%), and businesses (29%).

What are missed call rates by industry?

Home services and trades

Invoca (2025) puts home services conversion at 46%, the highest of nine industries in that report.

ServiceTitan (2022, 3,000+ U.S./Canada trade businesses) found a typical shop’s call booking rate was 42% in June 2022. Businesses with 25 or more techs booked 59%; shops with fewer than five booked 24%. By trade: plumbing 43%, electrical 41%, HVAC 38%, garage door and water treatment 31%.

Invoca (2025): healthcare conversion 40%.

ClearCall AI (2026) miss rates: medical clinics 20-25% average (30-40% in understaffed practices); dental clinics 19% baseline, falling to 4% after systematic call-flow intervention; law firms 18-26%; veterinary hospitals 30-40% in high-volume clinics (60-100 calls/day); aesthetic clinics and med spas 29% baseline.

Other Invoca conversion splits (2025)

From the same Invoca cross-industry report: travel and hospitality 43%, automotive 42%, senior care 41%, telecommunications 36%, consumer services 36%, financial services 29%, business services 22%.

Are businesses adopting AI voice and virtual receptionists?

Gartner (survey of 187 CSS leaders, July-August 2024) projects that 85% of customer service leaders will explore or pilot a customer-facing conversational GenAI solution in 2025. As of the survey window, 44% reported exploring a customer-facing GenAI voicebot, 11% were piloting, and 5% had a solution deployed.

CallRail (2025) reported that agencies using Voice Assist in its beta program saw a 40% increase in total answered calls (a beta outcome metric, not a market adoption share).

How we sourced this

Every number on this page is traced to a primary publisher URL in our ledger (vendor platform studies, audit reports, government releases, peer-reviewed or HBR research, and named survey press releases). Folklore figures that circulate in AI-receptionist blogs without a traceable original methodology were excluded. That includes unverified claims such as “85% of missed callers never call back,” “62% immediately call a competitor,” and “$126,000/year average lost revenue.” We also left out secondary roundups when we could not re-verify the original survey page.

There is still no BLS, Census, or FCC series that measures unanswered SMB calls nationally. The best primaries remain named platform and audit studies (CallRail, ClearCall AI, Invoca, 411 Locals) plus government structure and traffic data (Census, SBA, FCC, CTIA).
